Organize Your Office Area

Organization is the key to productivity in the office. If you know where everything is that you need for a job and you don't have to search for it, you will work more efficiently. Searching for the things that you need for the job takes time and concentration from the task at hand.

It is important to not only have your filing system organized; you need to have your workspace organized as well. Keeping your desk neat and having a place for everything allows you to work productively. This reduces stress and makes a good impression on current and prospective clients.

Everyone has their own way to organize things. There are some things that should be kept in mind while organizing your office.

1. Small containers can keep paperclips, staples and other little items organized. Having to dig for these items when you are in a hurry can not only waste time, it is annoying. Some desks have built in areas for these items; there are also organization trays that can be purchased to help you with this.

2. Items you use on a regular basis should be kept in a place they can be easily reached. Place staplers, paperclips, sticky notes and other items you are going to use regularly close by so you can get to them when needed.

3. Electronic organization is a great space saver. Keeping the amount of things you print out to a minimum is helpful to the environment and can help you to reduce clutter. You will still need to organize your computer files so you can find things in your virtual office.

4. Using in and out boxes can help you organize files close by. These baskets can be used in other ways too, if you can think of ways to help you increase your productivity these do not have to be used strictly for items that are going in and out of your office.

5. File your completed work. Leaving finished assignments out can become confusing and redoing an assignment that doesn’t need to be redone is frustrating and time consuming.

6. Trash cans are your friend. If you don’t have a trash can at your desk you will start to accumulate clutter on your desk. Keep this from taking over by keeping a trash can close by

Organization is different for every person, what you may feel is highly organized can be complete chaos to others. There is no right or wrong way to organize as long as it is functional to you.

Getting organized is important, keeping your office in a functional state is simple if you follow a few simple guidelines and come up with an organizational system that works for you in your office. If you have other people sharing the space with you then you need to have a system that can be used by everyone. Just keep it simple by keeping things where you can find and get to them when needed. It's just a matter of customizing your office system so it fits your personal needs.
